Event Set Up and Marketing:
The Event Setup and Marketing portion of Socious Events is where you
will get started, inputting all the important details about your
event from the date and time zone, to marketing aspects such as
location and hotel information. Here, you can also set up security
for your event, so that only the users you choose have access to view
and manage details about your event.
Once you have entered some basic information, you値l use our simple
interface to build your event痴 web pages. You can let Socious Events
automatically convert the information you enter into web pages, or you
can customize each page.
Once your event has been established, you値l select the groups within
your organization that you値l be targeting as attendees for the event.
Your event痴 web page will display in the Communities portion of the Socious
toolset for each associated group. You can also set up and send pre-event
marketing emails to potential attendees of your event.
Registration Setup:
The Event Registration portion of Socious Events enables
you to fully control the ways in which individuals can register for your event, and
the registration fees charged to different types of registrants during various registration periods.
Here, you値l define your online event registration form.
In addition to the basic information for registrants, you値l be able to set up various price
levels and options for guests, and add in any optional items that registrants pay for separately,
such as a golf tournament or pre-conference workshop.
Socious Events has the built in capability to send an automated
email to each individual that registers for your event. You can fully customize this email message
to suite your needs.
Taking advantage of the powerful communications tools within your Socious toolset, you can
assign event registrants to one or more conference mailing lists or forums, making sure that
they receive the information they need for the event based upon their participation level.
Scheduling Setup:
The Event Scheduling Setup portion of Socious Events enables
you to control the ways in which sessions will be set up and managed for your event. You
can define session tracks and also designate session types to differentiate sessions such
as Workshops, Panels, and so on.
Here, you can define the various room configurations and locations
in which sessions will be held. You can define time slots for sessions and event schedules that
can be easily applied to specific rooms, saving you the time and effort of manually creating a
schedule for each room.
You can define and customize automated email messages that will
be sent out during the course of the session submission process.
Scheduling Management:
Once you begin accepting session submissions for your event,
the Scheduling Management portion of Socious Events let痴 you easily manage sessions through
each step of the process; from acceptance and voting to approval and scheduling. You have the
option of viewing and scheduling session assignments by time slot or by room assignment.
Here, you can run a variety of scheduling reports, including presentation
listings, assignment grids, and attendance counts after event registration has begun.
Event Management:
The Event Management portion of Socious Events helps you to manage
every aspect of registration for your event, from deleting or canceling a registration to adding
on new options, or changing registration fees.
Here, you can generate various registration reports including
attendee lists, registration counts, financial reconciliations, and guest and option reports.
You can also create customized emails to send to registered attendees or attendees that are
subscribed to any special event lists you created.
Event Account Setup and Management:
Using the Event Account Setup and Management portion of Socious
Events, you will set up the pay accounts used to process registration payments for your event,
and identify which users will have access to those accounts. You値l also be able to generate
a sample invoice, so you can see exactly how they will look before generating them for transactions.
Once accounts are established, you値l be able to manage the invoices
processed through an account, manually accept payments, and manage a refund queue.
