File Repositories

The File Repository acts as a central place for users and groups of the system to share and store files. As with all areas of the Socious Tools, the File Repositories are security controlled so that users can only access files in the categories they have the ability to see.

Users can fill out a ‘File Profile’ set by the organization to capture information that can be searched on for the file. Files can be cross-posted to multiple categories and multiple files can be loaded in a single post. The Socious File Repository ‘crawls’ the file to catalog all of the words in the file so it can be quickly found by using our Search tool.

If there are files outside of the Socious system that you would like the ability to locate, Socious has “Link To File’ functionality that allows files on outside sites to be searched upon within the system. This allows users to have a central place for all files they should have access to, no matter where the files reside.

The File Repository can also automatically convert files to a .PDF format. This will allow larger files to be downloaded quickly and provide a uniform ‘reader’ so members can view all files regardless of their original format.

Highlights of the File Repository:

  • The File Library can be set-up with multiple categories with underlying topics for easy browsing of files.
  • There is no limit to the number of categories and/or Topics that can be created within the system.
  • An additional Filter allows users to sort files based on identified Sub-Topics.
  • When a file is uploaded into the system, the application catalogs the words in the document. This is done for virtually all types of documents including Word, Text, PowerPoint, PDF, Excel and more. This allows for better search results for users doing keyword searches within the system.
  • When uploading a file, users have the ability to post the file to up to 3 different categories within the File Library. This allows files to be easily found by users searching different, but potentially related, areas of the File Library.
  • Multiple files, or file sets, can be added to the system in a single upload. There is no limit as to how many files can be added in a file set. This allows for related files to be grouped together for easy access by users.
  • If a user would like to add a link to a file that is on another system, this can be accommodated. By clicking ‘Add Link to File” all of the File Profile Information is entered into the system but instead of adding a file, a HTML link is added.
  • Users can search the entire file library based on keywords, categorization, and time frames. Any new files are added to the search engine within 30 minutes of posting.
